Commercial Insurance CRM

Clear ownership and next actions for insurance enquiries

A workflow pattern for recording enquiry ownership, next steps and unresolved information.

An enquiry record is useful only when a colleague can understand its current state and what should happen next. Record a named owner, a dated next action and the reason the enquiry is waiting. Keep the customer’s stated facts separate from assumptions and internal commentary.

Design the workflow

Create explicit states for common handoffs, such as awaiting information, under review or referred to another team. Each transition should identify the actor, timestamp and evidence needed to move forward. Avoid states that imply a quote or decision exists when work is still incomplete.

Test and govern

Review how reassignment, absence, duplicate enquiries and missed deadlines are handled. A queue view should make unowned work and blocked cases visible, while preserving the case history. Agree a safe closure reason and a way to reopen an enquiry when new information arrives. These basics help teams coordinate without confusing a status label with a customer outcome.

Define the source of truth, accountable owner and exception path before implementation. Test representative scenarios and retain the evidence needed to review outcomes. This practical guidance does not make a claim about a specific VYPR product capability.
