Designing renewal workflows in a commercial brokerage CRM
Structure renewal tasks, evidence and escalation points around a clear policy timeline.
A renewal workflow begins with reliable policy dates and a clear view of who owns the next action. Define the events that open renewal work, the information to review, and how changed circumstances are captured. Do not assume that a prior year’s information remains current.
Design the workflow
Map steps for contacting the customer, gathering updates, reviewing the record, referring questions and recording the eventual outcome. Each step needs an owner, target date and completion evidence. Distinguish a reminder from a completed review and make unresolved questions visible to the next colleague.
Test and govern
Test renewals with changed contacts, late information, multiple policies and a decision not to proceed. Check how records link to documents and how progress appears in management reports. Agree what happens when a renewal is reassigned or overdue. The workflow should support timely service while leaving judgement and customer decisions with the appropriate people.
Define the source of truth, accountable owner and exception path before implementation. Test representative scenarios and retain the evidence needed to review outcomes. This practical guidance does not make a claim about a specific VYPR product capability.
