Making policy-servicing queues easier to reconcile
A workflow guide to distinguishing incoming policy-service requests, active work and resolved handoffs.
Policy-service work can become difficult to follow when a request, a validation step and a final action appear as one status. A queue is easier to reconcile when each state describes a known event and each open task has an owner.
Separate request from outcome
Record what was requested, who or what supplied it, when it arrived and which policy record it concerns. Keep receipt separate from validation and from any completed service action. The system should not imply that a requested change has been accepted merely because it entered a queue.
Give open work a next step
For each unresolved item, make the next action and responsible team visible. If information is missing or inconsistent, record the question and its source rather than replacing it with an assumption. A handoff should preserve the context needed by the next person.
Reconcile changes with source evidence
- Keep a traceable reference to the original request.
- Record the event that moved work to its next state.
- Make corrections and reversals visible.
- Review aging and duplicate items with the accountable owner.
Test the workflow with a routine request, an incomplete request, a duplicate and a correction. Confirm the record distinguishes what is known from what still requires an authorised decision.
This is generic workflow guidance. Policy terms, acceptance and the effect of a service request must be determined by accountable product, insurer and broker owners for the relevant process.
