A document and version checklist for reinsurance submissions
A process guide to keeping reinsurance submission documents traceable, current and ready for specialist review.
A reinsurance submission may move between several people and systems before it is ready for review. A simple document-control process helps teams identify the current material, trace its source and spot gaps without changing the underlying risk information.
Give each item a clear identity
Agree a consistent naming approach that identifies the account or submission, document type, period or version where relevant, and date received. Keep the original file or source reference available according to approved access and retention rules. Avoid names such as “final-final” that leave users unsure which version is authoritative.
Record who supplied the document, when it arrived and which submission it supports. If a file is replaced, preserve a traceable link to the earlier version and the reason for the change. Do not silently overwrite a document that may have been used in an earlier review.
Track completeness without interpreting the risk
Maintain a checklist of expected materials defined by the responsible reinsurance specialist for that submission type. Mark each item as received, outstanding, superseded or not applicable, with a source or explanation. A blank checklist entry should not be treated as evidence that information does not exist.
Keep the control process separate from decisions about appetite, terms or the meaning of the submission. The checklist can show that a document has been received; only the accountable specialist can determine whether its contents are adequate for a particular reinsurance review.
Prepare a clear handoff
- Identify the current submission version and its last update.
- List outstanding documents and the accountable owner.
- Flag conflicting or unreadable material for resolution.
- Restrict sensitive files to authorised users.
- Record any approved redaction or transformation and retain its source reference.
Use a review-ready check
Before handoff, ask a colleague to locate the current version, trace an important figure to its source and identify unresolved gaps. Test a replaced file, a late update, an unreadable attachment and two documents with conflicting dates. Confirm that the recipient can tell which material is current and which still needs specialist attention.
This is a document-control workflow, not a guide to reinsurance terms, risk selection or placement. Submission requirements vary and should be defined by the responsible broker and reinsurance specialists.
