Keeping reinsurance workflow handoffs reviewable

A process guide to preserving ownership and evidence as reinsurance work moves between teams.

When work passes between teams, a short handoff record can preserve context and make unresolved items easier to find. It should describe the current workflow state without substituting for specialist judgement about the submission.

State what the handoff covers

Identify the submission or task, the current version of the material, the sending and receiving roles and the reason for the transfer. Link relevant source documents or records using approved access controls.

Keep open questions visible

List missing, conflicting or unreadable information as an open item with a source and owner. Distinguish a pending question from a confirmed fact. Where a specialist decision is needed, name the accountable role rather than embedding an unsupported conclusion in a status field.

Confirm receipt and next action

  • Record when the receiving team accepted the handoff.
  • Make the next task and responsible role explicit.
  • Keep corrections and superseded versions traceable.
  • Escalate access or document-integrity problems through the approved route.

Test the handoff using a late document, a changed version and an unresolved question. The recipient should be able to identify current material, outstanding work and who owns each decision.

This is a generic operational checklist, not guidance on reinsurance terms, appetite, placement or risk selection. Those matters belong to accountable reinsurance and broker specialists.
